SGS Vangmayam is the student portal of the Sri Ashta Stotra Parayana classes held at Karya Siddhi Hanuman Temple in Frisco, Texas. It runs at www.sgsvangmayam.org, and the SGS Vangmayam iOS app shows the same portal. This policy explains what the portal collects, why, who can see it, and how to delete it. The portal is run by volunteers for the temple's classes. It is not a business: nothing here is sold, and there is no advertising or tracking of any kind.
Who can use the portal
Only families enrolled in the classes. An account can be created only with an email address the class administrators have placed on the class list, and the account holder must be an adult. Students who are children appear as members under a parent or guardian's account; the parent manages everything about them.
What we collect
- Account details: your email address and a password (stored only in hashed form by our sign-in provider), the account holder's name, phone number, city, state and country, and the registration details the temple recorded on the class list (the enrollment order number and the payer's name).
- Student cards: for every student under the account, their name, their SGS-Vangmayam ID, whether they are an adult or a child, the parent or guardian's name for a child, their location and the program they attend.
- Face photo: one photo per student, added by the family. Class administrators use it to check students in at class, on the administrator's own device. The photo is stored privately and shown only to administrators and assessors. The app itself does not scan faces on your phone.
- Attendance: which classes each student attended, recorded by the administrators.
- Questions: questions you send to the administrators through the portal, and questions you type to the portal's assistant. The assistant sends the text of your question, together with the program's published guidelines and schedule, to an AI provider (Cloudflare Workers AI, or Groq when Cloudflare is unavailable) to produce an answer. Nothing else about you is sent with it. Questions and answers are kept so the administrators can review them.
- Documents folder: each student receives a Google Drive folder, created and owned by the temple's Google account, for certificates and class documents. Whatever you place in that folder is stored in Google Drive.
- Telegram (optional): if the temple offers its Telegram assistant and you link your chat to your account, we store your Telegram user ID and display name and which account they are linked to. You can unlink at any time from the chat.
- Technical records: our hosting providers keep standard server logs (network address, browser type, time of request) for a short period, for security and troubleshooting. The portal contains no analytics or advertising software and uses no advertising identifier.
We do not collect location data, contacts, microphone audio, or payment card details. There are no purchases inside the portal or the app.
Why we collect it
To run the classes: keep the roster, take attendance, publish the schedule and class materials, answer your questions, keep each student's documents in one place, and reach you by email about the class or your account. Nothing is used for advertising, profiling, or any purpose unrelated to the classes.
Who can see it
The class administrators and assessors, and only for their work. The providers that process data on our behalf are Supabase (database, sign-in and photo storage), Vercel (hosting), Resend (email delivery), Google (Drive folders), Cloudflare and Groq (the text of assistant questions only) and Telegram (only if you link a chat). They may use the data only to provide their service to us. We never sell, rent or trade personal information, and we disclose it only when the law requires.
How long we keep it, and how to delete it
We keep your information while your account exists. You can delete your account yourself at any time: open the Profile page in the app or on the website and use Delete my account. That removes your login, every student card under it, the stored photos, your questions, each student's documents folder with its contents, and your family's entry on the class list. It cannot be undone. Backup copies of the database age out afterwards over a limited period. You can also write to sankaravagmayam@gmail.com to see, correct or delete what we hold, and we will act on the request.
Children
Some students are children. Their details, including the face photo, are provided and managed by a parent or guardian through the parent's account, and we collect only what the class needs. A parent or guardian may review, correct or delete a child's information at any time from the Profile page or by email.
Security
Data travels over encrypted connections (HTTPS). Photos are stored in private storage and shown through short-lived links. Access to the database is restricted per family: a family can only ever read and change its own records.
Changes
If the portal starts handling information differently, this page changes and the date at the top moves. Significant changes are also announced in the portal.
